What happens to your POS when the internet goes down

Key takeaways

  • A cloud POS with a proper offline mode keeps taking orders with no connection, stores them on the device, and syncs them when the line returns.
  • Offline mode only works for data already on the device, so the product list must be downloaded while you are still online.
  • Card and online payments need a network whatever POS you use. Cash and payments recorded for later still work.
  • Reports, settings and anything that needs fresh data from the server usually wait until you are back online.
  • Prepare before you need it: download for offline, sign in beforehand, and keep a phone hotspot as a backup.

Connections drop. Mobile data at a night market fades as the crowd arrives, shopping-centre Wi-Fi goes down, a fibre line is cut by roadworks. For a business with a queue, the question is not whether it will happen but what the POS does when it does. This guide explains how offline mode in a cloud POS works, what you can and cannot expect from it, and how to prepare.

Why a cloud POS needs an offline mode at all

A cloud POS keeps your data on a server so that it is safe if a device is lost, and so that the owner can see sales from anywhere. The trade-off is that a naive cloud system stops the moment it cannot reach that server - the till is a web page that no longer loads. An offline mode closes that gap by keeping enough of the system on the device itself to carry on selling.

How it works underneath

Most modern cloud POS systems do this as a progressive web app. A small program in the browser, called a service worker, keeps a copy of the app itself on the device, so it still opens without a connection. The product list, prices and settings are stored in the browser's own database. When you make a sale offline, the order is saved in that local database and marked as waiting to sync. When the connection returns, the waiting orders are sent to the server, and your sales reports catch up.

What keeps working offline

  • Opening the app on a device that has used it before.
  • Browsing your products and prices, as they were at the last download.
  • Taking orders at the counter and recording payment by cash or another method you confirm yourself.
  • Seeing the queue of orders taken on that device.

What does not work offline

  • Card and online payments processed by a gateway or bank. They need the network by definition, in any POS. Take cash, or record the order and collect payment when you are back online.
  • Signing in for the first time on a device. Credentials are checked by the server.
  • Reports and dashboards that combine data from the server, and anything that changes settings or products.
  • Other devices seeing the order straight away. A second tablet or a kitchen screen only sees an offline order once the device that took it has synced.
  • Price changes made elsewhere while you are offline. The device sells at the prices it last downloaded.

Where the risks are

Offline orders exist only on the device until they sync. If the device is lost, reset or has its browser data cleared before it reconnects, those orders go with it. So reconnect and sync as soon as you can, do not clear browser data on a till device, and check that the waiting-to-sync count reaches zero before you close for the day.

Stock counts can also be briefly out of date: if two devices both sell the last unit of something while offline, the system only finds out when both sync. For most small businesses that is a rare and minor event, but it is worth knowing.

How to prepare for an outage

  1. Download your products and settings for offline use while you still have a good connection, and again after changing prices or adding items.
  2. Sign in on every till device in advance, so none of them needs the server to start.
  3. Keep a phone with mobile data you can turn into a hotspot. Often only the shop Wi-Fi is down.
  4. Keep a cash float on hand for when card and QR payments cannot go through.
  5. After the connection returns, confirm that all waiting orders have synced before running your closing.

Questions to ask a POS vendor about offline mode

  • Which screens work offline, specifically?
  • Do offline orders sync automatically, and can I see which ones are still waiting?
  • What happens if the device is switched off before it syncs?
  • Do I need to do anything in advance for offline mode to work?

Where FivePOS fits

FivePOS is a progressive web app. Quick Order and the order queue work with no connection; other pages show a clear "not available offline" screen rather than failing silently. A Prepare for Offline action in the sidebar downloads your products, settings and product images to the device. Orders taken offline are saved on the device and sync automatically when the connection returns, and offline orders can be reviewed and synced by hand from Settings. If you have already signed in on the device, FivePOS carries on with your last session while offline; signing in fresh needs internet. It is used this way by stalls, shops and salons in places where the signal is unreliable - see POS for stalls and night markets, or start free.

Frequently asked questions

Can a cloud POS work without internet?

A cloud POS with an offline mode can. It keeps the app and your product list on the device, saves new orders locally while offline, and syncs them to the server when the connection comes back. A cloud POS without an offline mode stops working until the connection returns, so ask before you buy.

Can I take card payments when the POS is offline?

Not through a payment gateway or online bank - those need a connection in any system. You can take cash, or record the order and collect payment once you are back online.

Will I lose orders taken offline?

Not if the device syncs. Offline orders are stored on the device until they are sent to the server, so the risk is losing or resetting the device, or clearing its browser data, before it reconnects.
